Save invoices, contracts and documents to the Vault

The Vault keeps invoices, contracts and receipts in one place. How to scan or upload documents, save files from chat, and check the numbers the Vault read.

The Vault keeps your papers, invoices and contracts in one place. It reads the text on each document and pulls out the key figures (period, amount, due date…), so you can find things again, compare them and get due-date reminders.

Add documents

Web

Sidebar → "Vault". Click "Upload files" or "Scan document", or drag and drop up to 20 files at a time (PDF, images, XML e-invoices).

Android

Open the Vault tab and tap "Add document": "Scan document" (several pages, combined into one PDF), "Choose photos" or "Choose files". You can also share a file from another app to XomiW and choose "Save to Vault".

iPhone

Open the Vault tab and tap "Add document": "Scan document" (several pages, combined into one PDF), "Choose photos" or "Choose files".

Choose "Let the vault sort it" or pick a collection, for example "Bills & utilities", "Purchases & VAT invoices", "Work & contracts", "Vehicles" or "Other". The "Home" collection needs your one-time consent before anything is saved: tap it, read the explanation, tick the consent box, then tap "Agree and turn on" (same on the web and in the app).

In the app, tap "New collection" below the list to create a collection of your own.

The Vault usually finishes reading in under a minute. If a photo is blurry, take it again with enough light, straight on and without glare.

Save files from chat

Files you send in chat have a "Save to Vault" button (web: right under the file; app: press and hold the message or open the file's menu). The first time, XomiW may ask "Save attachments to the vault automatically?" with three choices: Always, Ask each time, Never.

Check the numbers

Every field the Vault reads has a confidence level. Documents with uncertain points go to the "To review" tab, with a reason such as "amount + VAT ≠ total".

  • Click "Show where this came from" to see the spot on the original page.
  • Fix any wrong field and click "Save", or "Confirm all" if everything is right.
  • Click "Read again" to have the Vault read the document from scratch. Reading again costs credits like a new document: if you are out of credits, the Vault only stores the file (labelled "Stored only"), the app says so clearly and offers "Message XomiW" (or "View plans" when the app version sells credits); once you have more credits, tap Read again.
  • "Edit title and tags" (app) or the Tags field (web) to give it an easy-to-find name and labels; "Collection" to move the document to another collection.

Download the original and collection settings

  • In a document, click "Download" to open the original file. If it can't be downloaded (offline, no permission…), the app says why.
  • In the app, a collection's gear button sets due-date reminders, unusual change alerts and use in scheduled tasks. AI read access, turning a collection off and the access log are set on the web (the "Open on the web" line on the same screen).

Delete and restore

Tap "Undo" right after deleting to get it back. If it can't be restored at that moment, the app tells you and the document stays in Trash so you can restore it later.

A deleted document goes to "Trash" and is erased for good after 30 days. Until then, click "Restore" if you deleted it by mistake.

Give XomiW the job, get the file

Reports, official letters, spreadsheets, reminders: write one sentence; XomiW does it and asks before sending or deleting anything.
