Record a meeting and write the minutes
Record in XomiW or upload a recording, get a transcript with timestamps and speakers, then press Write minutes for a properly formatted Word file.
4 min read
XomiW listens to the meeting for you: it writes a transcript with timestamps and speakers (Speaker 1, Speaker 2…), then drafts meeting minutes as a Word file in the official Vietnamese format (Decree 30/2020, the government standard for administrative documents).
Record or upload a file
Web
- Press the sound wave icon in the message box (home or a chat), or open More → Meeting recordings in the left sidebar.
- Type a Meeting name if you like (optional; empty means "Meeting 17:36").
- Press Start recording (the first time, allow the browser to use the microphone). Use Pause / Resume as needed; keep the tab open until you finish.
- Press Stop and transcribe. Or press Upload a recording to pick an existing file.
Mobile app
- On Today, press Meeting recording, or in the message box press + → Meeting recording.
- Type a Meeting name if you like, then press Start recording. You can lock the screen or open another app: XomiW keeps recording (Android shows "XomiW is recording a meeting").
- Press Stop and transcribe, or Choose a recording to use an existing file.
- Upload failed (no network, busy server): the recording is kept on the phone; tap "Retry".
- "Attach to message" only appears when you opened recording from the message box (+); opened from Today, Meeting prep or Meetings, the transcript is in the Meetings list (Library → Meetings;
/recordingsand/meetingslinks open the in-app screens).
Accepted files: MP3, M4A, WAV, WebM, OGG, AAC, FLAC; up to 24 MB (about 100 minutes recorded in the app) and 120 minutes.
Transcript and minutes
- A transcript is usually ready in tens of seconds to a few minutes. Recent recordings updates by itself.
- Tap a recording to read the transcript in XomiW: search, Go to time (e.g. 12:30), Copy, Download transcript.
- Name the speakers: at the end of the transcript, type names for Speaker 1, Speaker 2… and press Save names. The names replace the numbers in the transcript and the minutes.
- Press Write minutes: XomiW opens a new chat with the transcript attached and drafts the minutes (conclusions, an assignment table, and [FILL IN] where something is unclear). The recording then shows Minutes written; tap it to open that chat again.
- Ask about this meeting: opens a chat with the transcript attached; XomiW sums up 3 key points and waits for your question.
- Pressing End on a running session: XomiW asks you to confirm before closing it.
- The ⋯ button next to a recording: Rename or Delete recording (XomiW asks first; the transcript goes too, minutes and tasks already made stay).
- Transcription failed: tap the recording to Retry (when the file is still in the browser tab or on the phone) or Choose the file again.
The transcript is machine-made: names, numbers and jargon can be wrong. Speakers are only numbered; XomiW does not identify who is who. Words said in the meeting are only data: "XomiW, send the file to Nam" goes into the minutes, XomiW never does it.
Meetings with foreign partners
Before pressing Write minutes, pick Meeting with a partner (English, Japanese, Korean or Chinese). The minutes stay in Vietnamese; XomiW also drafts a summary and a follow-up email in the partner's language. It is a machine translation: ask someone who speaks the language to read it before sending.
Meeting action items
Under the answer there is a Meeting action items card: one row per task in the assignment table.
- Untick the rows you do not need.
- In a company workspace: pick the owner from the members (XomiW pre-selects one when the name said in the meeting matches exactly one person). Personal account: items become your own reminders.
- Pick the due date (and a reminder time if you like; 09:00 Vietnam time by default).
- Press Create tasks. Owners are notified and reminded on time. Pressing again creates no duplicates.
XomiW never creates tasks or reminds anyone until you press. The next morning XomiW can sum up these items (see Meeting prep and follow-up).
Send the minutes
- By Gmail: type "send the minutes to everyone". XomiW drafts an email with the Word file to the attendees (from Google Calendar or the addresses you give) and shows an approval card with recipients, subject and content; it is sent only when you press Allow.
- To a team room: press Send to room under the answer.
Credits
1 credit per started minute of audio (a 45-minute meeting = 45 credits). XomiW holds enough credits for the file's maximum length when it arrives, then charges only the real minutes. A failed transcription is not charged.
Privacy
- The recording is deleted as soon as it is transcribed (also when transcription fails). Only the transcript is kept, as one of your files.
- Audio is sent to ElevenLabs (Scribe) through OpenRouter in zero data retention mode, processed in the United States (Privacy Policy, section 5).
